Legend – Shift Status & Requirement Types

The Legend icon “?” in the Scheduler provides a quick visual guide to what the different colors represent in your schedule grid. Here’s how each color is used:

Requirement Types

  • Open Shifts (Yellow): These are unassigned shifts available for staff to claim. They indicate scheduling gaps waiting to be filled.
  • Contract / Travel (Light Blue): Represents shifts that involve contractual assignments or travel-related work. (Context-specific—adjust wording if your organization uses specific terminology.
  • Per Job / Visit (Orange): Denotes shifts scheduled per specific job or visit requirement—useful for visit-based roles such as home care or contractor tasks.

Shift Status Indicators

  • In Progress Shifts (Turquoise): Shifts that are currently active or underway.
  • Approved Shifts (Cream): These shifts have been assigned and confirmed—you can expect them to proceed as scheduled.
  • Completed Shifts (Green): These shifts have been successfully finished.
  • Closed Shifts (Gray): These shifts are no longer available for editing—typically, they’ve been archived or removed.
  • Canceled Shifts (Red): Shifts that were planned but subsequently canceled or withdrawn.

Having a clear legend helps users quickly recognize shift statuses and scheduling patterns without guessing. It:

  • Clarifies Availability — you can easily spot which slots are still open and need assignment.
  • Highlights Progress — you’ll know which shifts are underway, confirmed, completed, or canceled at a glance.
  • Supports Quick Action — this visual cue system speeds up decision-making and schedule management.

The Legend provides at-a-glance clarity on shift types and their statuses—using color codes to distinguish open, active, approved, completed, closed, and canceled shifts—helping managers navigate the Scheduler dashboard efficiently and accurately.
